How Mobilise cuts project team costs by half or more

Mobilise started life as a single feature. Then we put it in front of customers and the response was so strong that we renamed the whole platform after it.

Mobilise, our new and improved work orchestration platform, gives technology leaders one live view of every human skill and AI agent in their teams, mapped to a taxonomy of 40,000+ technology skills. It works inside the tools teams already use, like Jira, Copilot and ChatGPT.

The platform revolves around through 3 key features:

  • Map and Measure show you what capability you have and how it’s being used.
  • The Mobilise feature acts on that data at the moment you’re staffing a project. This is where the significant cost savings live.

From a brief to a costed team

Give Mobilise a project brief and it breaks the work into roles and tasks. Each task is matched against the people and agents you already have, drawn from systems like Workday, GitHub and your own agent registry (if you have one).

Where a genuine gap remains, you close it inside the platform. Bring in a specialist through a SoW matched to Gigged.AI’s 25,000+ on-demand specialists or your existing suppliers. Or pick a pre-built agent from the Gigged.AI library, with no build phase required.

No spreadsheets stitched together from three systems or guessing what your bench can cover. You simply get a costed, staffed team in minutes rather than weeks, and the plan can even be pushed to Jira or other DevOps tools as a ready-made epic.

Why we built it

Technology leaders are being squeezed from both sides. Boards want AI to start showing real ROI. Meanwhile the roles that matter most often take six to nine months to fill, even with budget signed off.

So when a new project lands, the safe call is a professional services firm on a time and material basis. It’s fast and it can work but it’s also the most expensive way to close a gap your own people or an agent could often close for a fraction of the price.

Mobilise puts that decision back with the person who owns delivery. Before a brief goes near an external vendor, it shows you what you already have. You see which employees hold each skill and which tasks an agent could pick up today. Then you see the real gap. Only that gap needs outside help, and you choose whether an on-demand specialist or a scoped professional services engagement fills it.

Across our customers, teams built through Mobilise cost at least 50% less than the professional-services-first route. Here’s an example of what that looks like on a realistic project.

A worked example: staffing a 10-seat project team

Alex is a programme director at a financial services firm, tasked with launching a new supplier risk-assessment portal in 12 weeks (60 working days). It has to integrate with the existing procurement system, meet regulatory data-handling requirements, and go live for 200 internal users.

Chapter Nine of The 40/40/20 Workforce sets out what a ten-seat blended pod looks like for work like this: four permanent, four on-demand, two agents. Here’s how those ten seats get built the old way, and how Alex builds the same team through Mobilise instead.

The legacy route: straight to a professional services firm

This is the default most programme directors still reach for. Alex stays in post to own the programme. Every other seat, including the two roles that don’t need a person at all, is filled by the vendor at professional services day rates. Most run the full 12 weeks. The two specialists are kept on half-time across the programme so they’re on hand for reviews and sign-off.

# Role Source What they do Rate Days Cost
1 Programme Director Internal (kept in-house) Owns delivery, budget and stakeholder sign-off £518/day 60 £31,080
2 Product Owner Professional services firm Prioritises the backlog and signs off scope changes £950/day 60 £57,000
3 Lead Architect Professional services firm Designs the integration £1,300/day 60 £78,000
4 Business Analyst Professional services firm Maps the approval workflow and writes the UAT scripts £850/day 60 £51,000
5 Senior Full-Stack Engineer Professional services firm Builds the portal, front end and back end £1,100/day 60 £66,000
6 Integration Engineer Professional services firm Connects the portal to the procurement system £1,050/day 60 £63,000
7 Data Governance Consultant Professional services firm Regulatory data review and sign-off, kept on half-time across the programme £1,400/day 30 £42,000
8 Service Designer Professional services firm Journey mapping and usability testing, kept on half-time across the programme £950/day 30 £28,500
9 QA Tester (manual) Professional services firm Runs regression testing by hand; no agent offered £750/day 60 £45,000
10 Junior Developer Professional services firm Reviews code and writes release notes; no agent offered £700/day 60 £42,000

Total cost for the 12-week programme £503,580

The Mobilise route

Run through Mobilise, the same brief comes back staffed differently. Four seats stay in-house. Two go to on-demand specialists from the Gigged.AI network. The two specialist roles still go to professional services, on exactly the same terms as the legacy route. The last two go to agents from the Gigged.AI library.

Total cost for the 12-week programme £249,120

*Internal rates account for the fully loaded cost of employment, including salary, employer NI, pension and benefits. Gigged.AI agents are billed per working day on a pay-as-you-go basis, from £34 a day.

The saving: £254,460, or 51%

Every pound of the gap traces back to a staffing decision Mobilise surfaced before the brief went out. Here’s where it comes from, largest first.

  • Redeployment: £105,780. Alex already had a Product Owner, a Lead Architect and a Business Analyst in-house. Putting them on the programme costs their internal equivalent day rate. The vendor route bills the same seats at professional services rates.
  • Agents: £82,680. Two seats a professional services firm would fill with people went to agents at £34 and £38 a day. Nobody gets pulled off higher-value work to run regression tests or review pull requests.
  • On-demand specialists: £66,000. The two build roles went to vetted specialists at roughly half the professional services day rate, for the same 60 days of delivery.

None of this asked Alex to under-resource the programme. It asked Alex to know what didn’t need to be bought at all, before the brief went anywhere.

Why the savings are possible

Each part of that saving depends on something Mobilise already has in place. Redeployment only works if you know who holds which skill. Map plots every person and agent on a taxonomy of 40,000+ technology skills, so that picture exists before your first project lands. Measure keeps it current as people move and new agents get deployed. There’s no capability audit to run first.

The rest of the saving comes from cheaper supply, and that’s ready too. Alex’s two build specialists came from a network of 25,000+ vetted on-demand specialists. The agents came from Gigged.AI’s library of pre-built agents, with nothing to build. If you’d rather use suppliers you already work with, Mobilise routes work to them as well.

Technology leaders at Concentrix, Leidos, Aggreko, Arnold Clark and IFGL already run projects through Gigged.AI, and it’s rated five stars on Gartner Peer Insights. Early access users saw the savings in their own numbers.

“We knew we had strong people but we couldn’t see them in one place. Mobilise gave us that picture quickly. We can now look at a piece of work and see who and what we already have to deliver it, before we think about going outside.”

Graham McCreadie, Head of Enterprise Technology, Insights

“What stood out with Mobilise was how fast it gets you from a brief to a team. Instead of starting with a blank page or a call to a supplier, we start with our own people and agents and only fill the gaps that are really there. It has changed how we plan work.”

Euan Davidson, CIO, H&P
